Services Provided:
Basic Education Management Information System
(EMIS) Reporting. School districts that attempt to comply with the EMIS
reporting requirements of the State through the use of data manipulation
and reporting techniques not supplied through NWOCA may submit their reporting
data to NWOCA as part of their Basic Membership Fee. The district must
fully comply with all the reporting requirements and formats as specified
by the Ohio Department of Education in submitting this data.
Test Scoring/Survey Analysis. Test Scoring provides
a means of having multiple choice, true/false, and limited matching tests
computer scored. A complete analysis of test results by student and class
as a whole are returned. The software is capable of providing an analysis
of mastery by performance objective if desired. Use of this service requires
special test answer sheets which may be obtained from NWOCA. The software
utilized to provide this service was developed by NWOCA.
Student Biographical Data. This basic module
provides for current student related data and includes parent and school
related information. This data is organized to facilitate the other standard
services (e.g., attendance and grade reporting). It is also the root file
from which data is extracted for the EMIS reports. There is an annual fee
of $1.00 per student, only if the student is not already included in charges
for grade reporting services.
Student Attendance. Daily student attendance
is tracked with a customized breakdown of types of absences requested by
the district. NWOCA assists in setting up and monitoring the system to
ensure that districts conform to EMIS reporting requirements. Attendance
records track tardies, absences, suspensions, expulsions, as well as school
related functions which result in classroom absences. NWOCA provides district
tailored forms for attendance gathering. In addition, a full range of listing
and analysis reports are offered. NWOCA also provides a series of "alert"
reports which automatically run nightly, providing districts with daily
reports of students who have reached critical levels of absence or tardiness,
requiring staff intervention. Letters to parents can then be generated
by the system when desired. History of attendance is maintained throughout
enrollment in a given building. The annual fee is $.25 per student.
Scheduling. Computerized scheduling is
offered in two modes: batch scheduling (before a school year begins), and
on-line scheduling for individual students (typically for students registering
or changing schedules after the school year begins). Extensive features
are available to control scheduling logic. Course scheduling priorities,
sequencing rules, and class sizes are standard parameters of control. Advanced
scheduling logic also allows multiple scheduling passes, which allows relaxing
of rules enforced on the first run so as to allow more students to be scheduled
with the rules that are normally applied in manual scheduling procedures.
NWOCA scans individual student course requests for schools that select
this entry method. Final schedules are printed on NWOCA printers at the
beginning of school year. Student schedules include student fees charged
by the district. There is no limit to the number of scheduling runs which
a school is allowed to make in finalizing both teacher and student schedules.
Course and student enrollments are exported as needed for EMIS reporting
throughout the year. The NWOCA fee is $1.50 per student.
Grade Reporting. NWOCA generates scan sheets
for grade collection. The sheets are sorted by teacher for easy distribution
at the school. Marked scan sheets are sent to NWOCA by FCJVS bus for scanning
and generation of verification reports. When a district feels that all
data is complete and accurate they authorize NWOCA to print the official
copies for distribution. NWOCA personnel monitor the entire process to
ensure that the required attendance programs, grades, and comments are
properly entered so that timely and accurate data is reported. This service
is offered on a quarterly (9 week basis) for a fee of $.75 per student
per grading period. A quarterly interim reporting is also offered. It includes
only grades and comments and is printed on standard narrow white paper.
The cost is $.40 per student per reporting period for the interim reporting
option.
Fee System. Class fees, general fees (e.g., assembly
fees), and special fees (e.g., library fees) can be assigned by the system.
The software allows for proration of fees based upon time of enrollment
and withdrawal. As scheduling and class sections are changed during the
school year the fees are automatically assigned and credited. A fees screen
provides on-line information to staff personnel involved with fee collection.
The fees system integrates with grade reporting so that grade cards for
students with fees owed can be generated separately to save manual sorting.
NWOCA does not charge any separate fee for this service as it is included
in the grade reporting service.
Graduation Requirements. Schools with grade reporting
have access to a Graduation Requirements system which is an on-line monitoring
of students' progress toward graduation. It monitors the required course
completion as well as the total number of credits earned. This powerful
use of history data and current year records allows guidance counselors
and principals to list students falling behind in graduation requirements
on a grade level basis. Both on-line screens and printed reports allow
for finding the students in trouble. No separate fee is charged by NWOCA
for this service as it is included in the grade reporting service.
Database Management, Basic Training and Telephone
Support. NWOCA personnel establish the database environment for each reporting
entity including the rules by which grade reporting, course credit, and
graduation requirements are administered. NWOCA also schedules training
sessions for the training of new employees in the districts who need additional
experience and training with Student Services software. The sessions are
also scheduled for retraining and review of procedures for other employees
who request help. An annual fee of $200 per reporting entity is charged
by NWOCA. This database management, general training, and support fee covers
all of the above defined services.
OCIS. The Ohio Career Information System (OCIS)
is obtained through the Ohio Department of Education, Division of Vocational
and Career Education, Career Development Service. The system relates employment
opportunities to educational programs and schools that offer them. This
school related data is the ideal information source for students selecting
a post secondary educational institution. The database on schools is both
state and nationally organized. Job availability is covered in detail for
the state of Ohio. Average salary levels of occupational groups are listed
for state and national comparisons. The system also contains practical
components for such things as: obtaining financial aid for schooling, job
searching, and guidelines for starting one's own business. OCIS provides
instantaneous computer access to a wealth of educational and occupational
data, and is designed for direct usage by students.
NWOCA's fee to the user district is $250 per building/campus complex
(which is the fee charged to NWOCA by the Ohio Department of Education)
for Windows/Macintosh/IntraNet (Web) versions; $150 per/buiding/campus
for Jr. High/Middle School Windows and Jr. High/Middle School Macintosh;
plus $100 per year, for a total of $350/$250 per building/campus complex
per year.
INFOhio. INFOhio
is
an acronym for the Information Network For Ohio. This is a statewide cooperative
project to create an electronic network linking Ohio students, teachers,
library/media specialist and other via computer to:

School libraries in the same district and across the State.

College and University libraries through cooperative efforts with OhioLink.
-
Public and special libraries through cooperative efforts with OPLIN.
-
Electronic databases of government, education and other information
such as SIRS.
In addtion to the above electronic networks, INFOhio will provide quality
library automation software for the circulation of libary materials.
Excelsior Gradebook2. Grade2 is a client/server
gradebook system. Its open system architecture approach provides the most
beneficial solution to the user in terms of ease of use, reporting flexibility,
and overall school data integration. Thirteen area school districts have
chosen to use the Gradebook2 system
this school year to provide educators a powerful, multi-platform grade
data management tool. NWOCA provides support and training in the use of
this product.
